Security at Optivize
Your business data is sensitive. Here's how we keep it safe.
How we protect your data
- Your data is kept separate from every other customer's, and it's only used to run your business's AI.
- Data is encrypted in transit and at rest.
- Accounts you connect, like your calendar, are stored with their access encrypted, and you can disconnect them at any time.
- Our AI provider's business terms don't allow it to train its models on your data.
- We never sell your data or share it with data brokers.
- Nothing is sent, booked or changed until you approve it.
Who helps us run the service
We use a small number of trusted providers for hosting, our database, AI, email delivery, error monitoring and payments. Each is bound by contract to protect your data and to use it only to provide their part of the service. Our hosting, database and email run in the United States. Customers can ask us for our current list of providers at any time.
Optional integrations you connect
You can connect your own Google, Microsoft 365 or Zoom account, so your assistant can find a free time on your calendar, schedule meetings and send email for you. These are your own accounts with those companies, not vendors of ours: Optivize uses them on your behalf, only to carry out what you ask and approve, and nothing from them is used to train AI.
- Google: Google Calendar (busy times, and meetings with a Google Meet link) and sending email from Gmail
- Microsoft 365: Outlook calendar (busy times, and meetings with a Teams link) and sending email from Outlook
- Zoom: Zoom meetings for the meetings you approve
- To find a free time, your assistant reads your calendar's busy times when you ask, and sends them, with the connected account's email address, to the AI that writes its answers (our AI provider). It never sees what your events are.
- It schedules a meeting or sends an email only after you approve it in a card that shows exactly what will happen.
- Only the person who connected an account can use it, and they can disconnect it at any time on the Integrations page.
- The access an account grants is stored encrypted. When you disconnect, that access is deleted; a record that the account was connected (which account, and when) is kept.
