Who we are

Optivize AI (“Optivize”, “we”) provides AI-generated executive analysis and assistant services to businesses. This policy explains what we collect, why, and the choices you have.

What we collect

• Account details: your name, email address and the business you work for.
• Business data you connect or give us, such as financial and operating figures, goals, and what you tell your AI agents.
• Technical data: sign-in records, basic usage logs and error reports that keep the service running.
• Messages you send us, including scheduling a consultation.

How we use it

• To provide the service: analyse your business, answer your questions and remember context about your business.
• To support you, keep the service secure, and bill you.
• We do not sell your data, and we do not use it to train AI models.

AI processing

To analyse your business and answer your questions, we send your data to our AI provider through its business service. Its business terms don't allow it to train its models on your data. What your agents remember is stored for your business only. We keep each customer's data separate and design the service so other customers can't access it.

Who we share it with

Only the providers that help us run the service, for hosting, our database, AI, email delivery, error monitoring and payments (our Security page describes them), and only so they can provide their part of the service, or when the law requires it. Each is bound by contract to protect your data. You can ask us for our current list of providers at any time.

Where your data is processed

Our hosting, database and email run in the United States. Our AI provider may also process data in the United States.

Cookies

We use only the cookies needed to sign you in and keep you signed in. We don't use advertising or cross-site tracking cookies.

How long we keep it

We keep your data while your account is active. When you disconnect a data source in the Optivize app, we delete the data synced from it. When you close your account, we delete your business data within 30 days, except records we must keep by law, such as invoices. Deleted data can remain in encrypted backups until those backups expire.

Your choices

You can ask us to show, correct or delete your data at any time by emailing drakehayes@optivize-agency.com. We'll respond within 30 days. If your business needs a data processing agreement, contact us.

Children

The service is for businesses and isn't directed to anyone under 18.

Changes

If we change this policy in a meaningful way, we'll update the date at the top and tell account owners by email before the change takes effect.
